Introduction

You or your IT department will use the Microsoft 365 Admin Center to create user accounts for every user who needs access to Dynamics 365 (online). The user account registers the user with Microsoft Online Services environment. In addition to registration with the online service, the user account must be assigned a license in order for the user to have access to the service.

Check Your Licenses in Microsoft 365

Before creating a new user, confirm the number of subscriptions available for Dynamics 365. If you need additional subscriptions, please contact your CRM Support team at TamaracSupport@envestnet.com. Your firm may be subject to additional license fees.

To check the number of licenses in Microsoft 365, follow these steps:

  1. Log into Microsoft 365.

  2. In the left navigation pane, expand Billing, then click Licenses. Here, you’ll receive a report of all the licenses: Valid, Expired, and Assigned. If there is a difference between Valid and Assigned, you have licenses available to assign.

  3. If you do not have any licenses available to assign, please reach out to TamaracSupport@envestnet.com.

    Note

    Your firm may be subject to additional license fees.

Assign New User to the Appropriate Group

Once you’ve created the new user, make sure that user is in the appropriate group using the following steps:

  1. In Microsoft 365, click Active Users.

  2. Click the user to open.

  3. Beside Group Membership, click Edit.

  4. Add Dynamics CRM Online.

  5. Click Close.

Assign Tamarac Security Roles

Once you’ve added the user to the appropriate group, you can log into Dynamics 365 and assign the appropriate Tamarac Security Roles. Below is a chart explaining the required and optional Security Roles in Dynamics 365.

Tamarac Security Role Description
Tamarac User (Managed) - Required Every user needs this Security Role in order to log into CRM.
Tamarac Exchange Server-Side Sync (Managed) - Required Every user needs this Security Role in order to sync data between Dynamics 365 and the Outlook App for Dynamics 365.
Sales, Enterprise App Access - Required Every user needs this Security Role in order to use the Outlook App for Dynamics 365.
Tamarac Report Creator (Managed) This role provides the ability to create reports in Dynamics 365.
Tamarac Workflow User (Managed) This role provides the ability to create, activate/deactivate, and reassign processes in Dynamics 365.
Tamarac Bulk Edit (Managed) This role provides the ability to edit multiple records at once.
Tamarac Bulk Import (Managed) This role provides the ability to import records into Dynamics 365.
Tamarac Data Manager (Managed)** This role provides access to the Setup tab, the ability to merge records, and the ability to request that themselves and other users be granted elevated permissions in CRM.
Tamarac Delete (Managed)** This role provides the ability to delete records in CRM.
Tamarac Firm Record Audit Dashboard (Managed)  This role grants a user access to view the Firm Record Audit Dashboard. 

**This role should only be given to 1-2 users at the firm.

To assign security roles to users in CRM, follow these steps:

  1. In CRM, click ˅ to the right of Home.

  2. Select Setup.

  3. Select the Security tile and click Users to view a list of Active CRM users.

  4. Open the user you need to update and click Manage Security Roles.

  5. Select the security roles you want them to have from the list above.

Sales, Enterprise app access, Tamarac User (Managed), and Tamarac Exchange Server-Side Sync (Managed) are required.
